Work Environment
This position will be based in Kigali, Rwanda. The atmosphere of Edify is one where you can expect to perform widely varied tasks related to Christ-centered education.
Travel
The position may require travel throughout the country. In addition to local travel, Edify holds an annual all-staff meeting, alternating in any of the countries that Edify has a presence. All Edify staff are required to attend this meeting.
Position Summary
This position will provide efficient support in office administration, human resource and accounting processes to ensure smooth and compliant operations of Edify Rwanda. The officer will work closely with the Country Director, Regional Program Accounting Lead, and the Regional Human Resource Director in the management and follow up on administrative, human resource and accounting processes, while promoting integrity, stewardship, and Christian values.
Key Responsibilities
- Organize office supplies, equipment inventory, and procurement processes and maintain inventory
- Maintain and update the asset register and oversee inventory management.
- Coordinate logistics for Country office physical and virtual meetings, trainings, and travel arrangements.
- Maintain soft and hard copy filing systems for all in-country (Rwanda) contractual documents.
- Oversee general office maintenance and related casual/temporary administrative hires.
- Process bank transactions for both vendors and regional staff, maintaining good records in the accounting software.
- Support the Regional Program Accounting Lead with follow-up on documentation with vendors.
- Assist in the preparation of monthly and quarterly financial reports as will be required.
- Support with collation of audit documentation.
- Support the Regional Program Accounting Lead with verification of expense documentation on google drive as directed.
- Perform any other administrative duties as assigned by the Country Director and the Regional Program Accounting Lead.
- Support the Regional Human Resources Director (RHRD) as will be assigned with scheduling of recruitment processes: calendarizing agreed dates for various recruitment steps (longlisting; phone screening; panel interview; field assessment; onboarding & orientation meetings; documentation and filing in BambooHR.
- Assist the RHRD with tracking and management of HR trackers – Leave planners, Professional Development Fund usage, Performance Management (Priority setting, quarterly, mid-year and end of year reviews).
- Follow up with staff on timely completion of mandatory courses as required, and signing of required policies by staff, consultants, partners, volunteers, temporary staff and casual laborers.
- Assist the RHRD with periodic BambooHR staff records audits and ensuring signing of Human Resource Handbook and Policies.
- Work with the RHRD in supporting staff with their health-related needs: timely enrollment of new staff into the medical insurance scheme with required documentation; address staff challenges faced with insurance firm; timely follow up on annual medical insurance policy renewal for all East Africa country offices; enrollment of new staff into the respective country insurance scheme and assist in coordinating activities with insurance company e.g., staff wellness trainings and wellness clinics.
- Support the RHRD and Regional Leadership Team with the maintenance of the training and Events calendar: calendarization and coordination of key Regional and Country Office events – trainings, wellness activities; meetings, conferences, retreats, etc.
- Support with the set up and coordination of staff conferences and retreats, ensuring staff are supported in acquiring visas, passports, tickets, and any special needs expressed.
Qualifications & Experience
- Bachelor's Degree in Business Administration or similar, accounting concentration preferred.
- Minimum of 3 years' experience in a similar multifunctional role.
- Proficient in MS Office packages (Excel, Word and PowerPoint)
- Working knowledge of Rwandan statutory and labor laws.
- NGO experience is desirable.
