About this role

Overview

 

 

We are seeking a highly organized and detail-oriented Medical Administrative Assistant to provide comprehensive administrative and clerical support for a busy clinical department. The ideal candidate will possess strong communication, organizational, and computer skills while maintaining strict confidentiality and professionalism in a healthcare environment.

 

 

Responsibilities

 

  • Perform general office duties including:

    • Copying, filing, faxing, and mailings
    • Processing check requests
    • Typing correspondence
    • Initiating and responding to emails
    • Scheduling conference calls
    • Creating and maintaining spreadsheets and files
  • Prepare and type medical documentation including:

    • Discharge summaries
    • Operative reports
    • Referral letters
    • History and physical reports
    • Special procedure reports
    • Follow-up clinic notes
    • Other medical reports from written drafts
  • Answer and direct incoming telephone calls as needed.

  • Utilize Microsoft Office applications, including:

    • Excel
    • Word
    • PowerPoint
    • Other software to create and maintain correspondence, spreadsheets, presentations, and reports
  • Manage and maintain office equipment, including:

    • Phone systems
    • Voicemail systems
    • Computer equipment
  • Order, maintain, and monitor office supplies and materials while adhering to departmental budget guidelines.

  • Fax discharge summaries to pediatricians and follow-up specialists as required.

  • Communicate with the State Department of Health regarding newborn screening results and provide updates to physicians and nurse practitioners to ensure accurate patient records.

  • Maintain and submit Vermont Oxford Data as required.

  • Coordinate and arrange business travel as needed.

  • Assist with special projects and departmental initiatives.

  • Organize and track credentialing requirements for physicians and advanced practitioners.

  • Record, prepare, and distribute meeting minutes for practice meetings as needed.

  • Track and maintain records of Continuing Medical Education (CME) funds.

  • Schedule meetings and maintain calendars for physicians and advanced practitioners.

 

Qualifications

Education Level:

  • High school diploma or GED.

 

Experience Years:

  • One to three years+related experience and/or training.

 

Experience Industry:

  • Healthcare

 

Equivalent combination of relevant education and experience will be considered.
