ADMINISTRATIVE ASSISTANT II

Job Description:

This in-person, full-time position requires 4 days a week at the Outpatient Care Center at 40 Allied Drive in Dedham and 1 day a week at New England Baptist Hospital at 125 Parker Hill Avenue in Boston.

JOB SUMMARY:

Provides essential administrative support for department management. Supports personnel with scheduling, purchasing, departmental communications and other administrative duties.

ESSENTIAL DUTIES & RESPONSIBILITIES (including but not limited to):

  • Accurately performs administrative duties including dictation and transcription, typing and filing. Drafts routine memos and correspondence in a timely manner.
  • Maintains complex calendar including travel and meetings.
  • Answers telephones and responds appropriately to needs of callers based on knowledge of the situation and discretionary judgement.
  • Initiates agendas, notices and mailing of materials for committee meetings.
  • Keeps office supplies in stock and anticipates needs by ordering supplies in a timely manner.
  • Arranges for printing, duplicating, collation, faxing and distribution of various materials, including minutes, reports, special mailings, etc.
  • Screens telephone calls and responds appropriately to needs of callers based on knowledge and the situation and discretionary judgement; keeps Directors informed.
  • Supports the overall administrative needs of the department by working on special projects as assigned.

EDUCATION:

  • High School Graduate or Equivalent is required.
  • Associate’s Degree is preferred.

MINIMUM EXPERIENCE:

  • 1-3 years of work experience is required.
  • 0-1 years of supervisory/management experience is required.

Pay Range:

$21.53 - $28.97

The pay range listed for this position is the base hourly wage range the organization reasonably and in good faith expects to pay for this position at this time. Actual compensation is determined based on several factors, that may include seniority, education, training, relevant experience, relevant certifications, geography of work location, job responsibilities, or other applicable factors permissible by law.  Compensation may exceed the base hourly rate depending on shift differentials, call pay, premium pay, overtime pay, and other additional pay practices, as applicable to the position and in accordance with the law.
