As the Administrative Coordinator, you will provide essential administrative and operational support to the Director of Education and Principal, helping to ensure the efficient day-to-day operation of the Education Department and Therese Tuccaro Secondary School. You are service-oriented, dependable, and able to build positive working relationships with staff, students, families, and community partners while supporting departmental goals and initiatives.



ROLES AND RESPONSIBILITIES:

  • Screen and manage incoming calls and direct them to the appropriate parties.
  • Prioritize and manage calendar requests and inquiries to support seamless day-to-day engagements.
  • Plan and schedule appointments, meetings, conferences, online meetings, and travel.
  • Review documents, reports, and correspondence for format, content, grammar, and spelling.
  • Prepare documents and reports, compose correspondence, maintain contact lists, prepare expense reports, and assist with special projects.
  • Coordinate and manage activities related to education events as required.
  • Assist with activities within Mikisew departments in coordination with the Director and other department personnel.
  • Manage the Director and Principal calendars and arrange meeting logistics, including preparing documents and agendas.
  • Attend meetings to record minutes and follow up on actions and decisions.
  • Oversee the front end of the education office and/or school office.
  • Maintain office supplies, business cards, catering, and other needs required by the Director or Principal.
  • Maintain cooperative and effective working relationships with all employees.
  • Support the coordination and management of corporate events as required.
  • Coordinate timesheets.
  • Purchase gifts for delegations, special events, and education events.
  • Create posters, forms, presentations, and other materials as needed.



EDUCATION AND EXPERIENCE:

  • High School Diploma or equivalent combination of education and experience.
  • Post-secondary diploma in administration would be considered an asset.
  • 3 to 5 years of experience providing administrative support.
  • Must always maintain the highest level of confidentiality.
  • Excellent written and oral communication skills.
  • Ability to use computer software, including Microsoft Office.



Other Requirements

  • Valid Class 5 Alberta driver’s licence and access to a vehicle is an asset.
  • Willingness and ability to work after hours and/or weekends when required.
  • Willingness to submit to an Oath of Confidentiality.
  • Willingness to work a flexible schedule, including remote work, in-office work, and work at community locations.
  • Must provide and possess a clear Criminal Record Check with Vulnerable Sector Check.
  • Ability to speak and/or understand the Cree language, or another applicable First Nation language, would be an asset but is not required.



WORKING CONDITIONS:

  • Working in front of a computer for a portion of the shift.
  • Extended periods of sitting.
