The Client Services Specialist, LPN position supports the smooth and efficient operation of the clinic by serving as a primary point of contact for clients, visitors, and callers while also performing limited nursing responsibilities associated with admission.

The position manages front office activities, including scheduling, benefit verification, payment collection, and administrative workflow, while providing professional and welcoming service. Acting within the LPN scope of practice and under the supervision of a designated RN or physician, the position performs and documents the preliminary physical assessment using the approved Nursing Admission Assessment form, obtains and documents vital signs, completes approved screening and specimen activities, communicates abnormal or concerning findings, and submits the completed assessment to the designated supervising RN for review and signature.

CORE JOB DUTIES:

Front Office and Administrative Duties

  • Greets clients, families, visitors, and community partners while maintaining professional boundaries and providing excellent customer service.
  • Answers and routes telephone calls, communicates messages promptly, and maintains awareness of staff availability and location during operating hours.
  • Coordinates client appointments, admission activities, screenings, and follow up services in collaboration with the clinical team.
  • Verifies that all required consent and authorization forms are completed, signed, and documented before the client meets with the clinician. Promptly communicates any missing or incomplete documentation to the appropriate team member.
  • Maintains visitor and employee sign in and sign out processes, issues visitor badges, and ensures badges are returned upon departure.
  • Verifies demographic and insurance information, supports benefit verification, communicates client financial responsibility as directed, collects payments, and accurately documents all transactions.
  • Maintains accurate files, logs, forms, and electronic records in accordance with confidentiality, documentation, and record retention requirements.
  • Maintains and orders office supplies and monitors inventory levels to support uninterrupted clinic operations.
  • Provides administrative support to the Program Coordinator or Program Director, clinical staff, and other departments as assigned.
  • Attends staff meetings, training, and supervision as required.

Nursing Admission and Clinical Support Duties

• Performs and documents the preliminary physical assessment using the approved Nursing Admission Assessment form, facility policies, established protocols, and direction from the designated supervising RN or physician.

• Obtains and documents blood pressure, pulse, respirations, temperature, oxygen saturation, height, weight, pain level, and other required measurements. Repeats or confirms readings when indicated by policy or approved clinical parameters.

• Collects and documents current health concerns, medical and psychiatric history, medications, allergies, prior treatment, substance use history, withdrawal history, pregnancy status when applicable, infection risk information, support system information, and other data required by the approved assessment form.

• Observes and screens for urgent medical concerns, possible intoxication or withdrawal, changes in mental status, psychiatric concerns, fall risk, and other safety concerns using approved protocols and screening tools.

• Applies approved clinical parameters to identify when evaluation by an RN or physician, emergency services, or transfer to a higher level of care may be required. Promptly communicates abnormal or concerning findings and follows all resulting instructions.

• Initiates the facility emergency response process when a client appears medically or psychiatrically unstable or when an immediate safety concern is identified.

• Submits each completed Nursing Admission Assessment to the designated supervising RN for review, follow up, and signature within the timeframe established by company policy. Responds promptly to questions, requests for clarification, or requested corrections.

• Coordinates referrals, medical evaluations, laboratory testing, and other follow up services when directed by the supervising RN, physician, or approved protocol.

• Schedules, collects, performs, and documents urine drug screens and other required testing as ordered and permitted by policy. Maintains specimen integrity and follows established handling and documentation procedures.

• Collects and handles laboratory specimens according to orders, established procedures, infection prevention standards, and applicable chain of custody requirements.

• Maintains clinical equipment, instruments, testing supplies, and stock. Completes required equipment checks, cleaning, storage, and quality control documentation.

• Provides and reinforces client education within the LPN scope of practice and as directed by the supervising RN, physician, clinical team, or approved client education materials.

• Documents all nursing activities, observations, communications, escalations, and follow up actions accurately and promptly in the electronic health record.

General Responsibilities

• Maintains confidentiality related to clients, families, employees, and company operations.

• Adheres to all company policies, procedures, clinical protocols, compliance requirements, and applicable professional standards.

• Maintains current Georgia LPN licensure, required certifications, training, and demonstrated competency for all assigned nursing, testing, and specimen handling responsibilities.

• Promptly reports concerns related to training, competency, clinical supervision, safety, assigned responsibilities, or scope of practice before performing the activity.

• Performs other duties as assigned that are consistent with the position, licensure, training, demonstrated competency, and applicable scope of practice.

Education:

  • High school diploma or equivalent required.
  • Graduation from a practical nursing education program approved by the applicable board of nursing required.
  • Higher education preferred.

Experience:

  • Minimum one year of licensed practical nursing experience in a clinical setting preferred. Experience in behavioral health, substance use disorder treatment, outpatient care, or a medical office setting preferred.
  • Experience with scheduling, benefit verification, collections, or front office operations preferred.

Licensure:

  • Current, active, and unrestricted Georgia license as a Licensed Practical Nurse required.
  • Current CPR and Standard First Aid certification required.
