About this role

The current opening is for the Brazilian office located in São Paulo/SP, but we are in a Home Office model (with no plans to return in person) and the work in the physical office is optional. #LI-Remote

What you will be doing: Key responsibilities

Your role is to plan, execute, and deliver events that generate real business impact — connecting brand, relationship, and results. Your key areas of focus include:

  • End-to-End Event Delivery: Own execution of events from planning to on-site delivery — venue sourcing, quotes, technical visits, hands-on presence from setup through teardown.
  • Strategic Vendor & Budget Management: Manage budgets, negotiate beyond price pressure alone, and revisit scope when needed to protect quality and cost.
  • Cross-Functional Articulation: Connect PR, media relations, brand activations, and special projects, coordinating multiple stakeholders (agencies, vendors, internal teams) toward a single narrative.
  • Analytical Follow-Through: Go beyond production — deliver post-event analysis and reporting that connects event outcomes to business objectives.
  • Crisis Management: Act strategically under pressure, sustaining decisions based on formal approvals and clear escalation criteria.
  • Organization & Process: Maintain structured tracking of timelines, priorities, and deliverables using tools like Trello, Monday, Asana, and Excel

What We Are Looking For (Requirements)

  • Experience:  5+ years of professional experience in event coordination/production and marketing coordination, PR-adjacent events, or special projects.
  • Analytical Capability: Proven ability to deliver post-event analysis and reporting, not only flawless production — translating event performance into business insight.
  • Budget & Negotiation: Solid track record managing budgets and negotiating with vendors beyond price alone.
  • Interpersonal Skills: Strong communication and stakeholder management across PR agencies, vendors, and internal teams.
  • Organization & Autonomy: Ability to manage multiple simultaneous events with extreme organization in a fast-paced environment.
  • Location: Based in São Paulo, with availability for on-site presence throughout event execution.
  • Languages: Intermediate English required.

Nice to Have

  • Previous experience with mid-to-large budgets in agencies, consultancies, or reference companies in the events market.
  • Spanish (intermediate level or higher).
  • Experience connecting events with press relations and public relations strategy.
