The Wounded Warrior Project (WWP) Executive Assistant, CPO provides comprehensive administrative and executive support to the Chief Program Officer (CPO). This role manages complex calendars, schedules, and travel arrangements; coordinates a wide range of administrative tasks; and ensures the CPO’s time and priorities are aligned to achieve organizational and programmatic goals. By providing seamless administrative and operational support, this role enhances the CPO’s effectiveness and contributes to the overall success of the organization. As a member of the Program Integration Group, this role supports executive and board-level integration, enabling greater organizational and programmatic alignment to achieve the shared vision. This is accomplished by bringing systems, processes, and teams together through collaboration, prioritization, scheduling, long-range planning, and preparation for engagements and initiatives.


 

  • Coordinate complex schedules by managing calendar activities to effectively align the CPO’s time with organizational priorities.

  • Handle a wide range of administrative and support tasks, independently initiating and implementing processes to manage projects, information, and people.

  • Maintain a forward-looking calendar of key organizational milestones, ensuring the CPO is prepared in advance for major decisions and deadlines.

  • Coordinate all aspects of CPO travel, including itineraries, transportation, accommodations, and expense reporting/reimbursement.

  • Serve as a strategic thought partner with the Executive Integration Group and Program Integration Group, ensuring the CPO remains organized, informed, prepared, and focused on top priorities.

  • Act as a collaborative partner to the CPO and function as a point of contact and liaison with the senior leader team, executive administrative team, teammates, and external partners/constituents.

  • Arrange internal and external meetings by coordinating calendars, booking rooms, preparing agendas, managing technology needs, and preparing and distributing meeting materials and notes.

  • Conduct research and information gathering on behalf of the CPO, preparing agendas, summaries, and reports.

  • Develop and maintain positive, strategic relationships at all levels of the organization.

  • Exercise discretion, judgment, and organizational knowledge to facilitate the CPO’s activities and maintain confidentiality.

  • Monitor and triage incoming emails, calls, and messages, responding on behalf of the CPO when appropriate.

  • Collaborate with key internal and external stakeholders to support long-range organizational calendar planning.

  • Manage office support tasks, including ordering supplies and maintaining subscriptions/memberships.

  • Assist with the coordination of the annual programmatic budget.

  • Attend and actively participate in required training and/or meetings, including but not limited to New Teammate Orientation, WWP Cares, ASIST Suicide Prevention training, Leadership training, culture/team based training, or departmental huddles.

  • Other related duties as assigned.

EXPERIENCE

Requirements

  • Five years of experience in an administrative support role.

  • Five years of experience supporting C-Suite executives.


Preferences

  • Three years of experience working in a nonprofit organization.


EDUCATION

Requirements

  • Bachelor’s degree in communications, marketing, business, English, or a related field. Equivalent combination of applicable education, training, certification, and experience may be considered in lieu of degree.
