Job Description:
Ensure great customer service in employee and student identification cards, mail receipt, outgoing services and delivery to all HC areas, and managing the archiving and long-term storage of College documents. The position also serves in the role of Facilities Campus Planner and Business support as the primary liaison between HC and the Florida Department of Education through the preparation of required documentation, campus space inventories including extensive knowledge of the State Requirements for Educational Facilities (SREF). Assists in supporting the business functions of contract amendments, requisitions and change orders and budget management.
Job Duties
Manages and leads the Campus Services unit at the College which includes the District Mail Room, Records Retention, Campus Card Program and the District Reception Desk. Ensures critical functions that support the College are maintained at a high level of customer service as the position’s responsibilities impact all College staff, students and faculty. The incumbent will be the responsible party to ensure that staff, faculty and student carding is maintained in good order, information is documented, retained and retrievable, and that mechanisms are in place and continuously improved to provide the service on a perpetual basis.
Serves as the College owner of state level submissions, educational specifications for district-wide new construction, renovation, and remodeling projects. Preparing and implementing Educational Plant Surveys, along with the Capital Improvement Programs request and the Project Priority List for the College. Reviews and implements updates on facilities planning and reporting requirements of the Office of Educational Facilities of the Department of Education, including knowledge of the State Requirements for Educational Facilities (SREF).
The incumbent will be the responsible party to ensure that archived storage (Iron Mountain) is correctly collected for archival purposes. Also, this position will look to rotate out of date material from storage based upon established record keeping policy and working closely with College leadership for policy on records and retention. Responsible for establishing, managing, and controlling budgets for all aspects of the department. Serves as a backup to the Copy Center manager in times of absence, organizational need, and heavy workload.
Verifies and validates Facilities Inventory; maintains and updates Facilities Inventory Data Base for submission to the Office of Educational Facilities of the Department of Education. Serves as the administrative lead on 25Live. Upkeep and maintenance of college wide facilities information. Supports academic users of 25Live as needed.
Reviews and verifies state required utilization reports at the end of each academic term, adjusting data as required for accuracy. Assists in generating requisitions and change orders, as needed. Assists in project closeout documentation review, as needed. Assists in preparation of contracts, amendments, and related correspondence. Monitor and further the status of the documentation and correspondence. Respond to audit and public information requests.
Collects, coordinates, verifies, and submits facilities related correspondence to the Department of Education. Inspects buildings and interior spaces to evaluate suitability for occupancy. Measures to determine total square footage available for occupancy. Computes square footage available for each occupant to determine whether minimum space restriction can be met. Ensure the overall best utilization of the College’s facilities.
Minimum Requirements
Bachelor's Degree and at least five years of prior-related work experience.
