About this role

The Junior Grants Assistant will support the Grants Department in the effective and efficient administration of sub-grants and program activities to contribute to the successful implementation of CIVIC Ukraine Program goals. This is a part-time position with the possibility of extension to a full-time contract after 3 months, based on performance and organizational needs.

 

The employment focuses on providing administrative, coordination, and operational support related to grant administration and project implementation. The employee will gain practical experience in donor-funded programming, partner communication, project documentation, and grants management processes. This includes supporting communication with partner organizations, preparing and organizing project documentation, and assisting in the development of reports, agreements, and other program-related materials.

Type of contract:        Part-time (3 months, with possibility of extension with full-time assignment)

Travel:                         no travel 

Reporting to:               Grant Officer, Ukraine 

Staff reporting:           None 

 

Key functions:



  • Provide administrative and coordination support to the Grants Officer in the implementation of program activities. 
  • Assist with the preparation, review, and organization of project documentation, including agreements, reports, and official correspondence. 
  • Maintain accurate and well-organized electronic and physical filing systems for project-related documentation. 
  • Support communication and coordination with partner organizations and other relevant stakeholders. 
  • Draft, format, and process routine correspondence, including emails, letters, and other official communications. 
  • Support the preparation of internal and donor reports by collecting, organizing, and compiling relevant information. 
  • Assist in organizing meetings, calls, and coordination activities with partners and project team members. 
  • Prepare and coordinate reports, agendas, presentations, and other materials for the Grants Department, and ensure their timely distribution as required. 
  • Ensure that project documentation and records are maintained in accordance with organizational procedures and documentation standards. 
  • Provide administrative support to ensure that grant and procurement processes follow organizational policies and procedures. 

 

 

Key Qualifications: 



  • Current student or recent graduate in relevant field. 
  • Previous internship, volunteering, or academic experience related to NGOs, international organizations, or donor-funded programs is an advantage.
  • Basic understanding of the non-profit sector in Ukraine.
  • Interest in grants management, project coordination, and donor-funded programming.
  • Some experience in operations and/or procurement/finance/funds management is desirable. 
  • Experience working with local government and/or local organizations is an advantage. 
  • Basic financial management skills, with the ability to analyze information and make simple decisions. 
  • Proficiency in English, both spoken and written.
  • Good interpersonal skills and ability to work effectively within a team to meet deadlines. 
  • Willingness to take initiative and work independently with guidance. 
  • Basic problem-solving skills, including the ability to gather and present information. 
  • Computer literacy, including word processing, spreadsheets, and, preferably, presentation software. 
  • Good organizational and time-management skills.
