Job Summary
The Laboratory Administrator / Accessioning Officer is responsible for managing patient registration, sample accessioning, and administrative workflows related to laboratory operations. This role ensures accurate data entry, proper sample tracking, and smooth coordination between the laboratory, front desk, and external referral labs to support timely and efficient test processing.
Key Responsibilities
1. Sample Accessioning & Registration
- Register patient information accurately in the LIS/EMR system and External Labs Portals
- Generate and label sample barcodes correctly
- Verify test orders and ensure completeness before processing
- Ensure proper linkage between patient, test, and specimen
2. Sample Handling & Coordination
- Receive and log all incoming samples
- Prepare and organize samples for in-house testing or send-out
- Coordinate with referral laboratories for external testing
- Maintain proper documentation for sample transfer and tracking
3. Administrative Support
- Manage send-out test portals and documentation
- Track pending, delayed, and rejected samples
- Maintain records of sample status and follow up when required
- Assist in report dispatch coordination when needed
4. Quality & Compliance
- Ensure compliance with laboratory policies and accreditation standards
- Maintain accurate documentation and audit trails
- Report discrepancies, errors, or missing information promptly
- Support quality improvement initiatives
5. Communication & Coordination
- Liaise with lab team, nurses, and front desk for sample-related queries
- Communicate with external labs regarding test status and requirements
- Escalate urgent or critical issues to lab management
- Diploma or Bachelorβs degree (Healthcare, Life Sciences, or related field preferred)
- Experience in laboratory administration, accessioning, or healthcare setting is an advantage
- Familiarity with LIS/EMR systems
