Job Description

Internal Job Title -  Newsprint/ Distribution Administrator

This is a critical operational role delivering essential administrative and logistics support across national newspaper supply chains. 

The Newsprint Administrator is responsible for managing the day-to-day coordination of newsprint deliveries ("call-offs"), maintaining accurate stock records, and ensuring the smooth flow of materials to both internal and 3rd party print sites for Reach and Third Party Customers.

What You’ll Be Doing

Newsprint Supply & Stock Control

  • Supplier Liaison: Act as a primary point of contact for newsprint suppliers to confirm delivery schedules and quantities.
  • Delivery Management: Coordinate the "call-off" process, ensuring that the correct volumes and reel specifications are ordered and delivered to print sites on time.
  • Schedule Updates: Maintain and update delivery schedules, ensuring all stakeholders are informed of allocated times and dates for specific mills.
  • Stock takes & Monitoring: Regularly monitor newsprint consumption and stock holdings at various print sites and ports to enable them to remain within agreed Service Level Agreements (SLAs).

Distribution Analysis & Logistics Support

  • Logistics Partner Engagement: Assist regular reviews with third-party logistics providers to evaluate service quality and ensure contract compliance.
  • Route & Load Optimisation: Assist in analysing distribution routes and vehicle loading patterns to identify opportunities for improved capacity utilisation and fuel efficiency.

Finance & Administrative Operations

  • Invoice & Consumption Verification: Reconcile delivery notes, validate newsprint consumption.
  • Reporting & Budgeting: Analyse primary distribution costs against budgets, track financial targets, and build streamlined reporting processes to support decision-making.

Qualifications

What you’ll need to succeed

  • Logistics/Admin Background: Proven experience in a fast-paced supply chain, logistics, or administrative role.
  • Industry Knowledge: Understanding of the printing, paper, or manufacturing sector (specifically newsprint specs like GSM and reel widths) is highly desirable.
  • Tech & Data Savvy: Advanced Excel and data entry skills with high attention to detail; familiarity with reporting tools.
  • Organisation & Communication: Exceptional time management to handle complex delivery schedules, paired with clear communication to manage cross-functional stakeholders.
  • High Ownership: Driven to track deliveries and resolve inventory discrepancies end-to-end.
  • Deadline-Driven: Thrives under pressure, recognising the critical timelines of national newspaper publishing.
  • Collaborative: Works seamlessly with external suppliers, logistics partners, and internal finance/production teams.
