About this role

Responsibilities

The Manager, Corporate Services is responsible for overseeing day-to-day workplace and support operations across the organization, ensuring a safe, efficient, and well-maintained environment for employees, visitors, and business operations. This role manages space utilization and seating coordination, mailroom operations, workplace events and catering, cafeteria and food service vendor management, and regulatory and safety compliance activities.

 

The ideal candidate is a highly organized operational leader with strong vendor management, facilities coordination, and compliance experience who can effectively balance service delivery, operational efficiency, employee experience, and regulatory requirements.

 

Workplace & Space Management

  • Oversee space utilization planning and seating assignments to support operational needs, employee experience, and organizational growth.
  • Maintain accurate seating plans, occupancy records, and workspace allocation data, including oversight of office assignments and key distribution.
  • Coordinate office moves, departmental relocations, and reconfigurations with internal stakeholders and external vendors.
  • Partner with Facilities, HR, IT, and operational leadership to support workplace planning initiatives.
  • Oversee workplace hoteling operations, including the scheduling and booking of temporary cubicles and office spaces for onsite employees, and coordinate post-use cleaning and readiness of workspaces to ensure a clean, organized, and professional environment.
  • Manage registration and tracking processes for employee vehicles, EVs, eBikes, and eScooters, including recordkeeping, permit coordination and distribution, and compliance with workplace transportation and safety policies. 

Mailroom & Logistics Operations

  • Manage daily mailroom and distribution operations, including incoming/outgoing mail, packages, courier services, and internal deliveries.
  • Establish and maintain service standards and operational procedures for mail handling and distribution.
  • Coordinate with shipping and courier vendors to ensure timely and cost-effective service delivery.
  • Monitor operational efficiency and identify opportunities for process improvement.
  • Oversee inventory, distribution, and replenishment of office supplies maintained within the mailroom; coordinate supply orders with the warehouse to ensure adequate stock levels and timely fulfillment of organizational needs. 

Event Coordination & Workplace Services

  • Oversee planning and execution of internal meetings, events, and corporate functions.
  • Coordinate event logistics, including room and space reservations, catering, room setup, audiovisual support, event breakdown, and post-event cleanup.
  • Partner with internal stakeholders to ensure events are executed professionally and efficiently.
  • Manage relationships with event-related vendors and service providers.

Cafeteria & Food Service Management

  • Serve as the primary point of contact for cafeteria and food service vendors.
  • Oversee day-to-day food service operations to ensure quality, cleanliness, safety, and customer satisfaction.
  • Monitor vendor performance against contractual obligations and service level expectations.
  • Coordinate issue resolution related to food quality, service delivery, sanitation, and employee concerns.
  • Participate in contract reviews, renewals, and vendor performance evaluations.  

Regulatory, Safety & Compliance

  • Support organizational compliance with applicable workplace safety, health, sanitation, and regulatory requirements.
  • Coordinate and participate in inspections, audits, and compliance reviews conducted by internal teams and external agencies.
  • Track, document, and facilitate corrective actions for identified findings and deficiencies.
  • Maintain accurate compliance records, reports, and supporting documentation.
  • Partner with Environmental Health & Safety, Facilities, Security, and operational leadership to support workplace safety initiatives and regulatory readiness. 

Vendor & Operational Management

  • Manage third-party vendors and service providers to ensure quality performance and contractual compliance.
  • Develop and maintain operational procedures, service standards, and workflow documentation.
  • Monitor budgets and expenses associated with workplace services and vendor contracts.
  • Maintain accurate filing and recordkeeping systems for contracts, work orders, invoices, vendor documentation, and other operational records.
  • Identify and implement operational improvements to enhance efficiency and service delivery.

 

Qualifications

Education:

Bachelor’s degree in Business Administration, Facilities Management, Operations Management, Hospitality, or a related field preferred.

 

Related Experience:

  • Minimum of 5 years of experience in corporate services, facilities operations, workplace services, hospitality operations, or related operational management roles.
  • Experience managing vendors, workplace operations, and service contracts required.
  • Experience coordinating audits, inspections, and regulatory compliance activities strongly preferred.
  • Experience in healthcare, laboratory, corporate campus, logistics, or regulated operational environments.
  • Knowledge of workplace safety and regulatory compliance standards.
  • Experience with space planning or workplace management software.
  • Familiarity with food service operations and vendor oversight.

Knowledge:

  • Proficiency with Microsoft Office Suite and workplace/facilities management systems.

For applicants who will perform this position in New York City or Westchester County, the proposed annual salary is $95,000 p/yr. to $105,000 p/yr. For applicants who will perform this position outside of New York City or Westchester County, salary will reflect local market rates and be commensurate with the applicant’s skills, job-related knowledge, and experience.
