About this role

Position Summary Achieve Behavioral Health is seeking a highly organized, detail-oriented, and proactive Onboarding & Compliance Manager to oversee and manage the complete onboarding process for all clinical and non-clinical employees. This is a critical organizational role responsible for ensuring that every new employee is properly cleared, credentialed, trained, licensed, and prepared to begin working in compliance with organizational policies and applicable regulatory requirements. The Onboarding & Compliance Manager will serve as the central point of coordination between Human Resources, Clinical Leadership, Compliance, supervisors, and new employees, ensuring that no employee begins or continues in a role without meeting all applicable requirements. The ideal candidate is someone who is exceptionally organized, follows through consistently, understands the importance of regulatory compliance, and is comfortable managing multiple deadlines and requirements simultaneously. This position requires someone who will stay on top of every detail and take ownership of the onboarding process from beginning to end. Key Responsibilities Employee Onboarding

  • Manage the full onboarding process for all new clinical and non-clinical employees from offer acceptance through completion of onboarding.
  • Develop and maintain individualized onboarding checklists based on the employee's position, department, credentials, and regulatory requirements.
  • Ensure all required employment paperwork, background checks, fingerprinting, references, clearances, and documentation are completed timely.
  • Coordinate orientation, new-hire training, department-specific training, and required meetings.
  • Ensure new employees are fully prepared and cleared before beginning independent work.
  • Maintain consistent communication with new hires and hiring managers regarding outstanding requirements and deadlines.
  • Follow up aggressively and professionally on incomplete paperwork, missing documentation, expired credentials, or outstanding requirements.

Licensing & Credentialing

  • Maintain oversight of professional licenses, certifications, registrations, and other required credentials for clinical staff.
  • Verify licenses and credentials prior to employment and on an ongoing basis.
  • Maintain accurate records of expiration dates and ensure renewals are completed before credentials expire.
  • Track requirements for different professional disciplines and positions.
  • Work closely with clinical leadership and employees to resolve licensing or credentialing issues.
  • Ensure that employees are only assigned duties consistent with their credentials, training, and scope of practice.

Training & Regulatory Compliance

  • Maintain a comprehensive database/tracking system for required employee training.
  • Ensure all employees complete mandatory trainings within required timeframes.
  • Monitor annual, recurring, and position-specific training requirements.
  • Track compliance with organizational, state, federal, funding-source, and regulatory requirements.
  • Ensure employees receive required compliance, safety, clinical, documentation, privacy, and other mandated training.
  • Develop systems to identify upcoming training and credentialing deadlines before they become compliance issues.
  • Partner with Compliance and leadership to ensure the organization remains audit-ready.
  • Maintain documentation demonstrating that required onboarding, training, licensing, and credentialing requirements have been met.

Ongoing Employee Compliance

  • Monitor employee files for missing, outdated, or incomplete documentation.
  • Establish reminders and tracking systems for recurring requirements.
  • Conduct periodic audits of personnel files and onboarding records.
  • Identify compliance gaps and promptly escalate concerns to the appropriate leadership.
  • Assist with preparing documentation for internal reviews, audits, licensing reviews, and regulatory inspections.
  • Maintain strict confidentiality when handling employee and credentialing information.

Systems & Process Improvement

  • Create and maintain standardized onboarding workflows and checklists for different employee categories.
  • Continuously evaluate the onboarding process and identify opportunities to improve efficiency, accountability, and employee experience.
  • Develop dashboards or reports showing onboarding status, outstanding requirements, training completion, licensing expirations, and compliance gaps.
  • Establish clear deadlines and accountability for employees, supervisors, and departments.
  • Ensure onboarding procedures are consistently followed across the organization.
  • Recommend improvements to policies, procedures, systems, and workflows when compliance or operational gaps are identified.

  • Be able to identify potential compliance concerns and escalate them appropriately.
  • Maintain a high level of confidentiality, professionalism, and integrity.

Qualifications

  • Bachelor's degree in Human Resources, Business Administration, Healthcare Administration, Behavioral Health, or a related field preferred.
  • 3+ years of experience in HR, employee onboarding, credentialing, healthcare administration, compliance, or a related field.
  • Experience working in a healthcare, behavioral health, mental health, or human services organization strongly preferred.
  • Strong understanding of employee onboarding, credentialing, licensing, and training requirements.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and follow-through.
  • Proficiency with Microsoft Office/Excel and employee management or HR systems.
  • Ability to maintain confidential information and exercise sound judgment.
  • Ability to work independently while collaborating effectively across multiple departments.
