Position Summary

Arch Insurance Group Inc. is seeking an Operations Administrator to support the Travel and Accident & Health department. This role provides operational, administrative, and client service support for onboarding, account maintenance, premium processing, accounts receivable follow-up, reporting, and day-to-day business operations. The Operations Administrator will work closely with Operations, Sales, Account Management, Finance, Licensing, and external partners to ensure accurate system setup, timely issue resolution, reliable documentation, and strong operational execution.

Essential Duties and Responsibilities

Client, Broker and Partner Support

  • Coordinate onboarding for clients, brokers, and partners, including system setup, portal configuration, user access, documentation, and training support.
  • Maintain accurate client, broker, and partner account information, including account updates, system maintenance, quality audits, reporting, and data integrity.
  • Initiate and coordinate broker appointments, including producer licensing activities, licensing platform coordination, and VOPS setup.
  • Maintain onboarding checklists, follow-up items, and required documentation to support timely completion, tracking, and audit readiness.

Account and Operational Support

  • Serve as backup to Account Managers and Regional Sales Directors by supporting client inquiries, issue resolution, claims and service requests, account research, and partner support.
  • Research and resolve billing discrepancies, invoice questions, payment application issues, and outstanding receivable items in coordination with Finance and internal stakeholders.
  • Maintain trackers, reports, and status updates for onboarding, account activity, premium processing, receivables, and open operational items.

Cross-Functional and Administrative Support

  • Collaborate with internal departments and external partners to support implementation, account management, and ongoing operational needs.
  • Assist with SOPs, process guides, training materials, workflow documentation, and audit-ready records.
  • Identify process gaps, recommend improvements, and support operational efficiency initiatives.
  • Support office operations, facilities coordination, vendor management, supplies, and other administrative responsibilities as assigned by leadership.

Required Qualifications

  • 1–3 years of experience in insurance operations, account coordination, client services, billing, administrative support, or sales support.
  • Proficiency with Microsoft Office applications, including Excel.
  • Strong organizational skills with the ability to manage multiple priorities, track open items, and meet deadlines.
  • Strong attention to detail, accuracy, documentation, and follow-through.

Preferred Qualifications

  • Experience with insurance systems, client portals, workflow tools, reporting tools, or operational dashboards.
  • Experience with account servicing, premium processing, producer licensing, client/broker onboarding, or accounts receivable support.
  • Familiarity with SOPs, training materials, process documentation, or audit-ready recordkeeping.

Skills and Competencies

  • Strong Excel, tracking, data review, and reporting skills.
  • Ability to research issues, solve problems, and follow through to resolution.
  • Strong communication skills with the ability to work professionally with internal teams, brokers, clients, and external partners.
  • Self-starter with strong accountability, adaptability, organization, and sound judgment.
  • Collaborative approach with a focus on service, efficiency, and continuous improvement.

Work Environment

This role operates in a professional office environment and requires regular use of standard office systems, technology platforms, email, and reporting tools. The position requires effective communication, attention to detail, and the ability to manage competing priorities in a deadline-oriented environment.

For individuals assigned or hired to work in the location(s) indicated below, the base salary range is provided. Range is as of the time of posting. Position is incentive eligible.

$55,300 - $82,700/year

  • Total individual compensation (base salary, short & long-term incentives) offered will take into account a number of factors including but not limited to geographic location, scope & responsibilities of the role, qualifications, talent availability & specialization as well as business needs. The above pay range may be modified in the future.
