About this role

About Dexmate

Dexmate is building the foundation for physical AI — a unified platform that combines high-quality robotic hardware with a universal Physical AI OS, making robots as easy to build and deploy as software. Today, robotics is fragmented, slow, and closed: most builders are forced to reinvent the same stack again and again, and most ideas never make it past the prototype stage. We exist to change that. Our mission is to democratize robotics by lowering the barrier to entry, delivering a plug-and-play platform for developers, researchers, and enterprises, and cultivating an open ecosystem that accelerates the evolution of physical AI.

If you want to help shape the next layer of human capability — and believe the future of robotics should be built together, not in isolation — we'd love to build it with you.

About The Role

We are looking for a highly hands-on People Operations & Recruiting Partner to work closely with our business leaders and talent partner across recruiting, employee operations, and day-to-day people support.
You will serve as an operational backbone for the team—keeping recruiting processes moving, supporting employees and managers, and ensuring that everything from candidate sourcing and interviews to offers, onboarding, HR systems, and employee lifecycle processes is executed quickly and accurately.
This is an individual contributor role for someone who enjoys personally getting things done. You should be comfortable switching between sourcing candidates, coordinating interviews, preparing onboarding documents, resolving employee questions, and improving workflows using AI and automation.
Success in this role requires exceptional follow-through, urgency, attention to detail, and the ability to independently drive multiple priorities to completion.

Responsibilities

People Operations and HR Partnership

  • Manage core employee lifecycle processes, including preboarding, onboarding, employee changes, leave administration, performance-cycle coordination, and offboarding.

  • Maintain accurate employee records, HRIS data, employment documents, policies, checklists, and internal people documentation.

  • Coordinate with payroll, benefits, immigration, legal, finance, IT, and external vendors to resolve operational issues.

  • Serve as a responsive first point of contact for day-to-day employee questions and ensure issues are followed through to resolution.

  • Support managers with onboarding plans, employee communications, performance processes, engagement initiatives, and other people-related needs.

  • Help build practical, scalable HR processes that support a growing organization without adding unnecessary bureaucracy.

Recruiting Operations and Coordination

  • Partner closely with the HR and Talent lead and hiring managers to manage open roles, hiring priorities, and interview processes.

  • Own interview scheduling, candidate communication, interviewer preparation, feedback collection, debrief coordination, and process follow-up.

  • Maintain accurate ATS data and ensure candidates move through the process efficiently.

  • Coordinate offer approvals, offer letters, background and reference checks, preboarding, and onboarding handoffs.

  • Manage recruiting agencies and external partners, track submissions, and ensure timely communication.

  • Monitor recruiting funnels and identify delays, missing feedback, or other bottlenecks before they affect hiring outcomes.

Hands-on Recruiting

  • Personally source, engage, screen, and assess candidates for selected technical and business roles.

  • Build targeted pipelines through LinkedIn, referrals, professional communities, research, and other creative sourcing channels.

  • Conduct recruiter screens and evaluate candidate qualifications, motivation, compensation expectations, and overall fit.

  • Support offer discussions, candidate closing, and ongoing relationship management.

  • Step into urgent searches and other recruiting priorities whenever additional execution support is needed.

AI-Enabled Execution

  • Use AI tools and agentic workflows to improve sourcing research, outreach preparation, interview documentation, reporting, scheduling, onboarding, and recurring HR operations.

  • Identify repetitive work and build lightweight automations across the ATS, HRIS, and internal productivity tools.

  • Create clear SOPs, templates, trackers, and dashboards that improve visibility and reduce manual work.

  • Apply appropriate human judgment, confidentiality, and data privacy when using AI in recruiting and HR workflows.

Minimum Qualifications

  • 3+ years of hands-on experience across recruiting, recruiting operations, and HR or People Operations.

  • Direct experience managing workflows from candidate sourcing and interview coordination through offer and onboarding.

  • Experience supporting employee lifecycle processes, HRIS administration, employee documentation, payroll or benefits coordination, and employee inquiries.

  • Demonstrated ability to personally source and screen candidates rather than only coordinate recruiting processes.

  • Strong working knowledge of ATS, HRIS, scheduling, documentation, and productivity tools.

  • Practical experience using AI or automation tools to materially improve speed, quality, or operating efficiency.

  • Exceptional execution, responsiveness, organization, and attention to detail.

  • Ability to manage multiple priorities, proactively identify next steps, and complete work with limited supervision.

  • Strong communication skills and sound judgment when handling confidential candidate and employee information.

  • Working knowledge of U.S. employment practices.

  • Able to work on-site in Santa Clara, California.

Preferred Qualifications

  • Experience in an early-stage or fast-growing startup.

  • Experience recruiting engineering, AI, robotics, hardware, or other specialized technical talent.

  • Experience supporting immigration, multi-state employment, compensation, or HR compliance workflows.

  • Experience building recruiting and People Operations processes from the ground up.

  • Experience working directly with founders, executives, and technical hiring managers.
