Job Summary:

The Practice Supervisor - Clinical supports the Practice Manager by providing on-site supervision of the day-to-day operations of an assigned physician practice location. This role functions as a working supervisor, actively engaged in clinic operations approximately 80% of the time, with 20% dedicated to administrative and supervisory responsibilities. The Supervisor is responsible for ensuring the efficient daily flow of the clinic, supporting clinical and operational functions as needed to maintain access, patient experience, and throughput.

This position partners with physicians, Associates, and leadership to promote efficient clinical practice operations, ensure timely documentation and charge capture, and support a high-performing, patient-centered environment aligned with MWHC’s iCARE values.

Essential Functions & Responsibilities:

  • Provides on-site supervision of staff, while actively participating in clinic operations as needed to support clinical and patient flow functions as needed.
  • Serves as an on-site resource, assisting the Practice Manager with coaching, guidance, and support for clinical practice staff.
  • Manages and approves timecards for assigned staff.
  • Assists the Practice Manager with various payroll processes, staff scheduling and coordination, orientation, and ongoing staff training.
  • Assists the Practice Manager with budget monitoring and resource utilization to support cost-effective operations.
  • Monitors work queues and ensures no open charts, incomplete documentation, or unresolved issues that could delay billing or claim submission.
  • Collaborates with coding, billing, and leadership to reduce charge lag and improve reimbursement outcomes.
  • Organizes, prioritizes, and assigns work for Medical Assistants, Technicians, Nurses, and other clinical staff based on volume, acuity, and operational needs.
  • Monitors patient throughput and clinic schedules to ensure efficient flow and optimal patient access. Identifies and addresses operational concerns proactively and performs service recovery as needed.
  • Supports the development, implementation, and adherence to departmental policies, procedures, and regulatory requirements.
  • Establishes effective working relationships and maintains positive communications with staff, physicians, and other customers.
  • Reinforces service excellence culture aligned with iCARE values.
  • Monitors and maintains office supply inventories.
  • Supports performance improvement initiatives and corrective actions in partnership with the Practice Manager as needed.
  • May be required to travel to other clinic locations and demonstrate flexibility in supporting clinic operations as needed.
  • Performs other duties as assigned.

Qualifications:

  • High school diploma or equivalent required.
  • Current Medical Assistant (MA) certification required. Incumbents functioning in a direct patient care role must maintain applicable certification/licensure in accordance with MWHC policy.
  • Current American Heart Association (AHA) Basic Life Support (BLS) certification required at hire.
  • Minimum of one (1) to two (2) years ambulatory practice experience required; prior lead or supervisory experience preferred.
  • Demonstrated knowledge of physician practice clinical operations, including patient access, scheduling, documentation, charge capture, and work queue management.
  • Strong interpersonal, written, and verbal communication skills, with the ability to interact effectively with patients, providers, leadership, and Associates.
  • Strong time management, organization, and prioritization skills with the ability to adapt to changing operational demands.
  • Demonstrated analytical thinking and problem-solving skills, including workflow assessment and process improvement.
  • Ability to manage multiple responsibilities simultaneously while maintaining attention to detail and professionalism under pressure.
  • Working knowledge of standard office software required; experience with electronic medical records (e.g., Epic) and work queue management strongly preferred.
  • Demonstrates initiative, accountability, and the ability to function effectively as a working supervisor in both leadership and hands-on roles.

Physical Requirements: Constant (67-100% of workday) sitting and use of arms and hands; occasional (0-33% of workday) standing, walking, bending, squatting; ability to lift, push, and pull up to 10 lbs.; auditory and visual skills.

Mental Requirements: Possesses critical thinking and analytical skills.  Ability to multi-task.  Ability to communicate effectively and collaborate with a multi-disciplinary team.

Compensation Pay Range:

$25.42 - $35.59
