Production Coordinator

We are looking for two Production Coordinators to join our Tokyo-based team, who will play a key role in supporting the delivery of world-class VFX for film and television. Our Production Coordinators are the connective thread between artists, supervisors, and clients, helping keep every part of production running smoothly and on schedule.

The ideal candidates will combine strong organisational skills with clear communication and a calm, proactive mindset. They will bring clarity to complexity, ensuring that both creative and technical teams have what they need to do their best work.

Key Responsibilities

• Project Management: Track multiple shows, schedules, and deliverables using ShotGrid and other production tools. Maintain clear communication channels to ensure all departments meet internal and client deadlines.
• Shot & Asset Tracking: Keep all assets and shots organised and up to date through completion. Assign tasks, track progress, and optimise resources across artist teams.
• Communication Liaison: Serve as the central point of contact between departments and clients, providing timely updates on priorities, schedules, and delivery status.
• Dailies & Reviews: Organise and manage daily reviews, taking detailed notes and entering feedback into tracking systems. Coordinate syncSketch and review materials for supervisors and key creatives.
• Client Deliveries: Prepare and QC client delivery packages in collaboration with Editorial and Supervisors, ensuring accuracy and consistency.
• Meeting & Documentation Management: Schedule and coordinate meetings, create agendas, capture action items, and maintain accurate documentation in ShotGrid and other databases.
• Team Support: Supervise and mentor junior production staff, including Production Assistants, and support artist and supervisor needs across departments.
• Problem Solving: Anticipate bottlenecks, communicate risks, and help implement solutions that keep production on track.

What You’ll Bring

• Experience: At least 2–3 years of experience in production coordination or a similar role within VFX, animation, or film.
• Software Proficiency: Experience with ShotGrid or equivalent production tracking tools, and strong spreadsheet skills (Google Sheets, Excel).
• Communication Skills: Clear, confident communicator in both written and spoken English; Japanese language ability preferred.
• Organisation & Initiative: Ability to manage multiple projects and deadlines while maintaining accuracy and attention to detail.
• Industry Knowledge: Understanding of the VFX production pipeline, from asset creation through compositing.
• Collaboration: A positive, adaptable team player who thrives in a multicultural environment.
