Shutter Studio develops innovative technology products, interactive solutions, software, and custom-built experiences for businesses. We're looking for a proactive Project Coordinator who can organize projects, follow up with teams, and ensure smooth execution from planning to delivery.

Job Description

Responsibilities

• Coordinate projects across different departments including Production, Development, Design, Operations, Maintenance, and R&D.
• Create and maintain project schedules, task lists, and execution plans.
• Follow up daily with team members to ensure tasks are completed on time.
• Track project progress and update project dashboards.
• Organize project documentation and maintain accurate records.
• Coordinate communication between departments to ensure smooth workflow.
• Prepare meeting agendas, record meeting minutes, and follow up on action items.
• Identify project risks, delays, and blockers, then escalate when necessary.
• Support project planning, resource allocation, and workload tracking.
• Monitor deadlines and ensure project milestones are achieved.
• Assist in preparing reports, presentations, and project summaries.
• Coordinate purchasing requests and supplier follow-ups when required.
• Participate in testing, quality checks, and project handovers.
• Continuously improve internal workflows and project management processes.

Qualifications

Requirements

• Bachelor's degree in Business Administration, Engineering, Project Management, Operations, or a related field.
• 1–3 years of experience in Project Coordination, Operations, PMO, or a similar role.
• Strong organizational and multitasking skills.
• Excellent communication and follow-up abilities.
• High attention to detail.
• Ability to work in a fast-paced environment.
• Strong problem-solving skills.
• Good written and spoken English.
• Proficiency in Microsoft Office and Google Workspace.
• Experience with project management tools such as ClickUp, Jira, Monday.com, Trello, Asana, or similar.

Additional Information

Preferred Skills

• Experience coordinating cross-functional teams.
• Understanding of production, software, or technical projects.
• Experience with procurement and supplier coordination.
• Familiarity with AI productivity tools (ChatGPT, Notion AI, etc.).
• Ability to read project timelines and execution plans.
