Property Management Accountant
About this role
We are seeking a detail-oriented and dependable Accounting Virtual Assistant to support day-to-day bookkeeping and administrative accounting tasks for a property management operation. This role requires high accuracy, strong follow-through, and the ability to manage time-sensitive responsibilities related to HOA registrations, invoices, reconciliations, and compliance reporting.Â
The ideal candidate has experience in real estate/property management accounting, is comfortable working inside AppFolio and QuickBooks, and can communicate professionally with internal teams and external HOA contacts.Â

Key ResponsibilitiesÂ
HOA & Resident RegistrationÂ
- Register newly acquired properties with the HOA by completing and submitting HOA-specific formsÂ
- Register new residents with the HOA by completing and submitting HOA-specific formsÂ
- Support HOA-related documentation and trackingÂ
Accounts Payable & Invoice ManagementÂ
- Review and enter bills and invoices into AppFolio accurately and on timeÂ
- Resolve bills and invoices placed on hold in a timely mannerÂ
- Process HOA statements and reconcile balance discrepanciesÂ
- Ensure proper documentation and clean recordkeeping for all transactionsÂ
Compliance & ReportingÂ
- Run ADRE compliance reports and upload documentation into Google DocsÂ
- File and pay Transaction Privilege Tax (TPT) as requiredÂ
- Maintain organized files for compliance-related reporting and auditsÂ
Utilities & Administrative Accounting SupportÂ
- Coordinate turning utilities on/off for properties as neededÂ
- Code accounting entries in QuickBooksÂ
- Support additional accounting and administrative projects as assignedÂ

QualificationsÂ
RequiredÂ
- Strong understanding of bookkeeping and accounting fundamentalsÂ
- High accuracy in data entry and financial recordkeepingÂ
- Excellent written and verbal English communication skillsÂ
- Ability to maintain confidentiality and follow secure proceduresÂ
- Reliable, organized, and able to manage multiple deadlinesÂ
PreferredÂ
- Experience in Real Estate / Property Management accountingÂ
- Experience using QuickBooksÂ
- Experience using AppFolio (highly preferred)Â
- Familiarity with HOA processes, compliance reporting, and property operationsÂ
