We are expanding one of our signature programs and are looking for a Buyback Prevention Reporting & Analysis Specialist to own the end-to-end reporting and analytics function supporting our Field Service Consultant (FSC) program. Your day-to-day will include building, maintaining, and delivering operational reports that track program performance, key metrics, consultant utilization, and overall program health. You will manage data pipelines across multiple source systems, maintain automated workflows, deliver weekly and monthly reports to program leadership, and respond to ad hoc analytical requests. The Buyback Prevention Reporting & Analysis Specialist Key Tasks Are:Â
Recurring Operational ReportingÂ
Build and deliver weekly and monthly performance reports that track key program metrics, performance indicators, completion rates, pace-to-goal measurements, and time-based performance bucketsÂ
Produce regular reports for program leadership and field operations covering case progress, performance trends, aging analysis, and identification of critical items requiring attentionÂ
Deliver periodic performance monitoring reports covering consultant productivity, involvement rates, and supporting key performance indicators across the programÂ
Maintain and distribute utilization reports that account for known data behaviors including end-of-month timing fluctuations, verification lag, and data maturation patterns. Document and communicate cadence rules and data interpretation guidance to stakeholdersÂ
Execute manual quality steps for all reports including data validation, date alignment, source integrity checks, and stakeholder-specific formatting requirementsÂ
Data Pipeline & Workflow ManagementÂ
Own and maintain centralized data processing workflows (e.g., KNIME or similar ETL/data integration platforms) that feed reporting and visualization outputsÂ
Manage data source connections and inputs including CRM exports, dealer/FSC master lists, customer experience data, and training system downloadsÂ
Maintain data source documentation including a reference guide of URLs, pull locations, input requirements, and system dependenciesÂ
Implement and monitor data quality checks and sanity thresholds (e.g., expected record counts) to detect upstream source failures or data breaks earlyÂ
Manage legacy workflow components and understand downstream dependencies to prevent breakage when modifying pipelinesÂ
Data Visualization & Business IntelligenceÂ
Build and maintain interactive dashboards and data visualizations that enable stakeholders to slice, filter, and explore program dataÂ
Translate raw data outputs into formatted executive-ready deliverables combining automated outputs with manual formatting, summaries, and contextual notesÂ
Maintain shared report distribution folders and ensure timely delivery to all stakeholder groupsÂ
Ad Hoc Analysis & Special ProjectsÂ
Respond to recurring and one-off analytical requests from program leadership, including cross-referencing datasets, mapping distribution and location data, and producing program-specific extracts and analysesÂ
Work with large-scale datasets (millions of records) from enterprise data platforms to answer business questions not addressable through standard CRM reportingÂ
Support special analyses tied to emerging program needs, client requirements, or strategic planning initiativesÂ
Extract and analyze data from multiple source systems to support specific business questions or investigative requestsÂ
Training Data & Compliance ReportingÂ
Pull, process, and deliver monthly training completion data by joining training system downloads to the FSC master roster, filtering by staff identifiers, and extracting training phase completion statusÂ
Reconcile training data discrepancies between online system records and actual completion (e.g., in-person training not reflected in downloads)Â
Support program leadership in tracking certification levels and identifying training gaps across the FSC teamÂ
Knowledge Management & Process ContinuityÂ
Maintain comprehensive documentation for all recurring reports including step-by-step execution instructions, manual steps, known failure points, and sanity checksÂ
Develop and maintain a reporting cheat sheet covering data sources, system URLs, pull procedures, and input requirementsÂ
Support knowledge transfer activities to ensure reporting continuity, including shadowing-based training (watch → drive methodology)Â
Identify and recommend process improvements to reduce manual effort, improve data integrity, and increase report reliabilityÂ
Qualifications
Required Experience:Â
Minimum of 3-5 years of experience in data analytics, business intelligence, or reporting within an operational or program-support environmentÂ
Demonstrated proficiency with data visualization and reporting tools; ability to build, maintain, and troubleshoot dashboards and formatted report deliverablesÂ
Experience managing recurring report cadences with strict deadlines and multiple stakeholder groupsÂ
Strong working knowledge of data integration/ETL concepts; experience building or maintaining automated data processing workflowsÂ
Advanced proficiency in Microsoft Excel including Index & Match, pivot tables, data validation, and formula-driven summary tabsÂ
Experience working with CRM platforms for data extraction, report generation, and data quality managementÂ
Proven ability to work with large datasets (millions of records) and maintain performance and accuracyÂ
Strong attention to detail with experience implementing data quality checks and validation processesÂ
Excellent written and verbal communication skills with ability to document technical processes for non-technical audiencesÂ
Ability to manage multiple concurrent deliverables and prioritize between recurring obligations and ad hoc requestsÂ
Preferred Experience:Â
Tableau experience strongly preferred — including building/maintaining workbooks, connecting to data sources, creating calculated fields, and publishing dashboardsÂ
Salesforce reporting experience strongly preferred — including report/dashboard creation, data exports, and understanding of CRM data structures and relationshipsÂ
Experience with KNIME Analytics Platform or similar visual workflow/ETL tools (e.g., Alteryx, Talend, Apache NiFi)Â
Experience with enterprise data platforms and large-scale data environmentsÂ
Background in automotive industry, dealership operations, or OEM program supportÂ
Familiarity with automotive service operations, compliance programs, or field service managementÂ
Experience with Learning Management System (LMS) data and training compliance reportingÂ
Knowledge of SQL for ad hoc querying and data validationÂ
Bachelor’s degree in Data Analytics, Business Intelligence, Information Systems, Statistics, or related field (equivalent professional experience will be considered)Â
