Role Overview:Â
The Sales Administrative Coordinator provides dedicated administrative and operational support to the AVP, Sales while also supporting the broader sales function as needed. This role plays a key part in managing high-volume communications, maintaining accurate sales data, and coordinating internal information flow so the sales team can remain focused on revenue-generating activities.Â

Duties / Responsibilities:Â
Email and Communication ManagementÂ
• Monitor and triage high-volume inbox traffic for the AVP, SalesÂ
• Identify and elevate items requiring direct attentionÂ
• Draft and route routine responses as appropriateÂ
• Help reduce administrative email burden during peak event cyclesÂ
Internal CoordinationÂ
• Facilitate information flow between the AVP, Sales and internal teams including Finance, Production, and OperationsÂ
• Provide requested project information to internal stakeholders such as contracts, estimates, and updatesÂ
• Track follow-ups and ensure timely responsesÂ
• Support general administrative needs tied to active sales projectsÂ
CRM and Data ManagementÂ
• Maintain and update CRM and future ERP systemsÂ
• Support entry of client and contact informationÂ
• Assist with sales forecasting updates and pipeline hygieneÂ
• Generate basic sales and activity reports as requestedÂ
Administrative SupportÂ
• Assist in the preparation and organization of sales-related documentsÂ
• Maintain organized digital files and recordsÂ
• Support scheduling and light calendar coordination as neededÂ
• Assist with post-project documentation and notesÂ
Process SupportÂ
• Help maintain consistency in sales processes and documentationÂ
• Identify opportunities to improve administrative workflowsÂ
• Support future ERP-related data initiativesÂ
Required Skills / Abilities:Â
• Exceptional organizational and time management skillsÂ
• Strong attention to detail and accuracyÂ
• Ability to manage high email volume and prioritize effectivelyÂ
• Strong written and verbal communication skillsÂ
• High level of discretion and professionalismÂ
• Self-starter who can work independentlyÂ
• Proficiency in Microsoft Office, especially ExcelÂ
• Experience with CRM and/or ERP systems preferredÂ
• Comfortable working in a fast-paced, deadline-driven environmentÂ
Education and Experience:Â
• 3 to 5 years of experience in sales support, administrative coordination, or similar roleÂ
• Experience directly supporting a sales leader or sales organization strongly preferredÂ
• Bachelor’s degree preferred but not requiredÂ
