Job Description

Payroll Subject Matter Expert APAC | Pune | Full-time

We are seeking an experienced Payroll Administrator to manage end-to-end payroll operations across the APAC region. The role requires strong in-house payroll processing experience with expertise in Australia, New Zealand, Malaysia, Singapore, and Japan payrolls. The successful candidate will be responsible for payroll delivery, statutory compliance, vendor governance, audit management, payroll controls, and stakeholder engagement while ensuring payroll accuracy and regulatory compliance.

What you will do

Payroll Operations

  • Manage and execute end-to-end in-house payroll operations for Australia, New Zealand, Malaysia, Singapore, and Japan.

  • Process payroll transactions including new hires, terminations, promotions, transfers, bonuses, incentives, allowances, overtime, and deductions.

  • Ensure timely and accurate payroll processing in compliance with company policies and local regulations.

  • Perform payroll validations, reconciliations, and variance analysis.

  • Manage off-cycle payrolls, retro payments, and final settlements.

Statutory Compliance

  • Ensure compliance with country-specific payroll, tax, social security, pension, Superannuation and employment regulations.

  • Review and validate statutory filings, payments, and returns.

  • Monitor legislative changes and implement payroll process updates to maintain compliance.

  • Maintain payroll documentation and records for statutory and compliance requirements.

Audit Management

  • Coordinate and support internal, external, statutory, and financial audits.

  • Serve as the primary payroll contact for auditors and regulatory authorities.

  • Prepare audit schedules, reconciliations, control documentation, and supporting evidence.

  • Ensure payroll controls are effective and compliant with audit requirements.

  • Drive remediation activities arising from audit observations.

Payroll Vendor Management

  • Manage relationships with external payroll providers and statutory service partners.

  • Monitor vendor performance against established SLAs and KPIs.

  • Conduct governance reviews and ensure timely issue resolution.

  • Collaborate with vendors on payroll changes, statutory updates, and process improvements.

Reporting & Stakeholder Management

  • Prepare payroll reports, reconciliations, headcount reports, and management dashboards.

  • Partner with HR, Finance, Tax, Legal, and external service providers.

  • Support employee payroll queries and ensure high levels of service delivery.

  • Participate in payroll transitions, system enhancements, and continuous improvement projects.

What you bring

Required Qualifications & Experience

  • Bachelor’s degree in human resources, Accounting, Finance, Business Administration, or related field.

  • 6+ years of payroll experience with a strong background in payroll operations.

  • Hands-on experience managing payroll for:

    • Australia (AUS)

    • New Zealand (NZ)

    • Malaysia (MY)

    • Singapore (SG)

    • Japan (JP)

  • Proven experience managing payroll vendors and outsourced payroll providers.

  • Demonstrated experience handling internal audits, external audits, statutory audits, and compliance reviews.

  • Strong understanding of APAC payroll legislation, taxation, statutory reporting, and regulatory requirements.

  • Experience with payroll controls, reconciliations, and compliance governance.

  • Advanced Excel skills and experience with payroll/HR systems such as Workday.

Preferred Qualifications

  • Experience in a multinational organization or Global Business Services/Shared Services environment.

  • Knowledge of Payroll governance frameworks.

  • Experience supporting payroll transitions, implementations, and process transformation initiatives.

  • Payroll certification or professional qualification is advantageous.
