About this role

Overview

The Senior Workflow Manager provides executive-level workflow, correspondence, and task-management support to the Office of the Under Secretary of War for Acquisition and Sustainment Special Access Program Central Office (OUSW (A&S) SAPCO). This position manages high-visibility actions through the full task lifecycle, from receipt and assignment through coordination, approval, distribution, and closeout. The role maintains accurate workload visibility, ensures packages are complete and properly routed, and coordinates with senior Government leaders, action officers, security personnel, and external stakeholders in a fast-paced Special Access Program environment. Through disciplined tracking, quality control, records management, and executive communication, the Senior Workflow Manager helps ensure that leadership decisions, correspondence, and mission-critical actions are completed accurately, securely, and within established suspense dates.

Responsibilities

  • Manage assigned office tasks and correspondence through the complete lifecycle, including receipt, review, assignment, coordination, approval, signature, distribution, archiving, and closeout.
  • Maintain workload dashboards, workflow trackers, action-item logs, watch lists, and other management tools that provide accurate visibility into priorities, ownership, status, dependencies, and suspense dates.
  • Monitor designated tasking and correspondence systems; identify new, overdue, incomplete, or at-risk actions; and coordinate timely follow-up with responsible action officers and stakeholders.
  • Prepare task packages and review work products for completeness, accuracy, required coordination, supporting documentation, proper formatting, and appropriate security classification markings before routing.
  • Route correspondence, briefings, decision packages, memoranda, and other work products among internal and external stakeholders for review, approval, and senior-leader signature.
  • Maintain authoritative electronic copies of task packages and approved work products in accordance with established office policies, records-management requirements, and classified-information handling procedures.
  • Distribute approved work products to authorized recipients and ensure task records contain final correspondence, approvals, coordination history, and supporting documentation.
  • Develop, maintain, and periodically update workflow and correspondence standard operating procedures, desk guides, templates, and quality-control checklists.
  • Prepare executive-level status reports, briefings, meeting materials, decision-support products, and workload analyses for senior Government leadership.
  • Coordinate across Government offices, action officers, security personnel, and contractor support teams to resolve workflow bottlenecks, clarify requirements, and maintain timely execution of high-priority actions.
  • Support front-office administrative activities as required, including meeting coordination, calendar and conference-room support, organizational rosters, contact lists, and personnel onboarding or offboarding actions.
  • Safeguard classified and sensitive information and perform all duties in accordance with applicable Special Access Program, Sensitive Compartmented Information, records-management, and office procedures.

Qualifications

  • Bachelors degree from an accredited college or university in a relevant discipline and 10 years of directly relevant experience.
  • 4 years in a supervisory role.
  • Demonstrated experience managing executive-level workflow, correspondence, tasking, suspense tracking, and records in a Department of War, Intelligence Community, or other highly regulated Government environment.
  • Experience supporting Special Access Program or Sensitive Compartmented Information activities and applying appropriate controls to classified correspondence, task packages, and records.
  • Proven ability to coordinate effectively with senior leaders, action officers, Government customers, contractor personnel, and external stakeholders in a fast-paced environment with competing priorities.
  • Excellent written and verbal communication, organizational, analytical, and problem-solving skills, with exceptional attention to detail and the ability to independently manage multiple high-visibility actions.
  • High proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and SharePoint, as well as experience using electronic workflow, task-management, or correspondence-tracking systems.
  • CLEARANCE: Must possess and active Top Secret Sensitive Compartmented Information clearance and be eligible for Special Access Program access.

 

Preferred Qualifications:

  • Previous senior-level office management, executive support, or front-office workflow-management experience is a plus.
  • Experience developing workflow and correspondence standard operating procedures, dashboards, performance metrics, and executive reporting products in a classified environment is preferred.

 

 

Pay Transparency Statement

AMERICAN SYSTEMS is committed to pay transparency for our applicants and employee-owners. The salary range for this position is USD $160,000.00/Yr. - USD $180,000/Yr. Actual compensation will be determined based on several factors permitted by law.
