Job Overview

The Business Manager (BM) is responsible for the completion of essential financial and human capital management (HCM) functions for a portfolio of departments in the College of Arts & Sciences at Georgetown University. The BM collaborates closely with the Department Chair(s) to manage the department’s Administrative Coordinator (AC), ensuring the effective operations of the department’s offices, undergraduate and graduate academic administration, and events related activities. The BM serves as a liaison between the department and the Dean’s Office, as well as other key partner offices, regarding matters pertaining to the unit's finances and HCM.

Additional duties include, but are not limited to:

  • The initiation and/or completion of various HCM related forms, appointment letters, and processes for all employment types, including full-time and part-time faculty (both instructional and research), administrative and research staff, undergraduate and graduate students (hourly and stipend), post-doctoral fellows, visiting researchers, research fellows, and other department affiliates.

  • In partnership with the Assistant/Associate Director for Finance & Operations supporting the assigned departments, executing various financial budgeting and operational tasks throughout the annual budgeting and planning cycle, which includes, but not limited to purchase orders, miscellaneous payment requests, procurement contracts, expense reports, and the creation of the fiscal year compensation and non-compensation budget.

  • If applicable, in consultation with the Senior Associate Dean of Graduate Programs and Director(s) of Graduate Studies, preparing the spreadsheet for merit aid and doctoral student stipend processing.

  • Remain current on established University policies, processes, systems, deadlines, and other relevant information to facilitate the effective and efficient execution of key financial and HCM responsibilities assigned in the BM capacity.

  • Manage designated Administrative Coordinators (AC) by monitoring their workload and performance, maintaining regular communication with Department Chairs and Dean’s Office Finance and HCM teams, and gathering feedback from the various stakeholders with whom the ACs collaborate.

Work Interactions

The BM reports directly to the Department Chair and maintains a dotted line reporting relationship to the Lead Business Manager (LBM) of their designated department(s), and collaborates with the LBM to establish expectations and priorities for the support of the unit(s), monitoring success, and resolving any performance related concerns. The BM supervises the AC(s) of the department(s) and frequently works in partnership with the AC(s) to execute administrative tasks required for the unit's effective operation. The BM regularly collaborates with the College Dean’s Office’s Finance, HCM and Graduate Programs teams, and their respective staff, particularly the Assistant/Associate Director for Finance & Operations, the Procurement Analyst, and the HCM Business & Operations Analyst. In addition, the BM works with faculty and campus-wide partners including the Joint Office for Research Administration, Provost Office, Student Employment Office, and Office for Global Services.

Requirements and Qualifications

  • Bachelor’s degree.

  • Minimum 3-5 years’ experience in administrative roles, preferably within a higher education or other non-profit environment.

  • Demonstrated Experience in managing administrative operations, including budgetary management.

  • Excellent written and verbal communication abilities.

  • Proficiency in Microsoft Office, particularly Excel (e.g., pivot tables, vlookup and other functions).

  • Experience managing professional staff is preferred.

  • Familiarity with Georgetown University systems (e.g., CourseLeaf, Cognos, Workday) and/or policies and procedures preferred.

  • Preference will be given to applicants with experience in the College of Arts & Sciences.

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:

$47,586.00 - $87,558.13

Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
