JOB TITLE: Insurance Administrator
REPORTS TO: Supervisor – Insurance Administration

Job Purpose Summary:
Provide administrative, clerical, and organizational support within the Operations Department of the company.
Essential Duties and Responsibilities include the following:
- Accurately process and input into the INVISAGE system all cancellations, endorsements, renewals and new business for Personal Lines Property and Motor as well as All Renewals, Endorsements and Cancellations for Commercial Lines prior to insurer’s provided deadline. Supervisor will advise appropriate time to begin processing entries.
- Determine renewal terms, prepare and mail renewal notices for Motor and Home insurance at least 30 days prior to the expiry date of their policies.
- Process INT1’s from the Commercial Line Team within 24 hours of receiving instructions.
- Post payments received including cheques received in the mail, standing orders and credit card payments within 24 hours of receiving instructions.
- Notification activities to be set to CSR immediately on the 5th day of non-receipt of payment for POS2’s and POS3’s.
- Process refunds to clients.
- Following up with clients regarding payments in relation outstanding balances, and invoicing as well as any other routine follow up that may be required from time to time
- Following up with Insurers regarding policy documentation, underwriting queries and any other follow ups that may be required from time to time.
- Dispatch of documents to clients, i.e. policy documents and payment receipts that may be required from time to time
- Preparing payment agreements
- Verify, scan and attach policy documents to clients in TAM and mail to insureds within 48 hours of receiving them.
- Assist Supervisor/Manager with Policy Cancellation process – Calculate premiums and/or register mail endorsement letters.
- Assemble the bordereaux with all supporting documents by the 7th working day of the month.
- Assist Supervisor/Manager in running expiration reports monthly and distribute.
- Assist with other Insurance Administrator’s duties in their absence.
- Communicate clearly and professionally with prospective customers concerning their insurance requirements and refer them to the appropriate agent – on an as needed basis
- Assist with compiling responses to Audit requests
- Assist with the monthly payments to Companies and Vendors on an as needed basis

General Responsibilities
- Ensure that all confidential documents at workstation are properly secured at the end of every shift.
- Any other responsibilities that may be assigned by Supervisor and/or Manager
Requirements for the role include:
- Associate degree or equivalent in Insurance or Accounting.
- Related experience
- Strong analytical skills
- Strong administration and organizational skills, with significant attention to detail and accuracy.
- Ability to consistently meet deadlines
- Proficiency in the function of MS Office and any other required Company programs/databases.
- Effective communication and interpersonal skills are necessary, while remaining sensitive and discrete with confidential information.
