THE JOB

We are seeking a highly organized and detail-oriented Creative Operations Coordinator to join our team. Reporting directly to the Digital Asset Manager, this role will support the day-to-day operations of our Digital Asset Management (DAM) program and creative operations workflows.

Working closely with the Digital Asset Manager, you will help organize, catalog, maintain, and govern thousands of creative assets across Brandfolder, Airtable, Box, and Canva. You will also support creative project coordination, maintain databases, and help improve the systems and processes that enable our creative teams to work efficiently.

This position is ideal for someone who enjoys creating order from complexity, organizing information, and building scalable processes. If you naturally gravitate toward organizing, cataloging, and improving systems, this role offers the opportunity to make a meaningful impact on how creative work is managed, maintained, and shared across the organization.

WHAT THIS ROLE WILL DO

  • Support the day-to-day management, organization, and maintenance of digital assets within Brandfolder, Box, Canva, and Airtable.
  • Assist with uploading, cataloging, organizing, and maintaining creative assets using consistent metadata, taxonomy, keywords, and file naming conventions.
  • Help ensure digital assets are accurate, searchable, and easily accessible for internal teams.
  • Manage the intake, tracking, and administration of creative applications, tool permissions, and creative requests using Airtable.
  • Assist with maintaining project records, databases, and documentation across multiple systems.
  • Support the organization, governance, and version control of creative files.
  • Assist with organizing, maintaining, and updating Canva templates and creative resources to ensure teams have access to current, approved brand materials.
  • Partner with designers, marketers, and cross-functional teams to help ensure creative assets are delivered accurately and on schedule.
  • Perform quality assurance reviews to ensure assets meet organizational standards before publication or distribution.
  • Assist internal teams with locating assets and navigating creative systems.
  • Help create and maintain documentation, workflows, training materials, and standard operating procedures.
  • Identify opportunities to improve creative operations, digital asset management processes, and team workflows.
  • Assist with reporting and maintaining the accuracy and integrity of creative and asset management databases.

WHAT THIS PERSON WILL BRING

  • Bachelor's degree or equivalent professional experience.
  • 2+ years of experience in Creative Operations, Project Coordination, Digital Asset Management, Content Management, Information Management, Marketing Operations, Library Services, or a related field.
  • Exceptional organizational skills and strong attention to detail.
  • Experience managing multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Familiar knowledge of core creative terminology, design fundamentals, and visual graphic file formats.
  • Comfortable working with databases, spreadsheets, and large collections of digital files.
  • Strong analytical and problem-solving skills with an interest in improving processes.
  • Self-motivated with the ability to work independently while collaborating effectively with cross-functional teams.
  • An interest in organizing information, building efficient systems, and making content easy to discover.

Preferred Qualifications

  • Experience using Brandfolder.
  • Experience using Airtable to manage projects, workflows, or databases.
  • Experience with Box and Canva.
  • Understanding of metadata, taxonomy, cataloging, digital asset organization, and file governance best practices.
  • Experience supporting marketing, creative, or design teams.
  • Experience creating documentation, training materials, or standard operating procedures.
  • Familiarity with workflow automation and process improvement.
  • Background or coursework in Library & Information Science.

The expected compensation for this position is:

$25.00 USD - $31.25 USD Hourly
