Position Description:

The University of Louisville School of Medicine Office of Professional & Educational Development seeks a detail‑oriented, learner‑centered professional to coordinate Health Professions Education (HPE) graduate student admissions and administrative services. The Student Admissions Specialist II will also oversee our recruitment strategy and our social media presence for our office and programs. This position plays a key role in graduate student success, program quality, and data management.

Essential Duties and Responsibilities

  • Oversee activities related to graduate admissions, registration, student success, and retention for Health Professions Education graduate students in the School of Medicine.

  • Advise prospective and current students, as well as faculty, admission policies and procedures, petitions, re‑enrollment, and required graduate forms.

  • Provide admissions counseling, application processing, communication, referrals, and student record documentation for master of science and graduate certificate students.

  • Coordinate graduate student forms by reviewing, signing, submitting, and maintaining records of all graduate student documents.

  • Maintain tracking systems and milestone checks for MSHPE student progress, including degree audits and clearances in the Grad Tracking system.

  • Serve as a liaison with the Program Director, Registrar’s Office, and the Graduate School regarding graduate student status and completion.

  • Update the HPE Graduate Programs website, prepare student communications, and assist with updates to the Graduate Catalog in the CIM system.

  • Manage social media presence and promotional activities for HPE graduate programs.

  • Support accreditation processes for SACSCOC.

  • Perform other duties as assigned.

Preferred Qualifications

  • Master’s degree in Higher Education or a related field.

  • Three years of experience working in a university graduate program, with the ability to recommend policy and programming changes to faculty.

  • Experience developing database systems to track complex admission and program requirements.

  • Familiarity with continuing education or interprofessional continuing education.

Target Compensation Maximum:

$64,299.00

Target Compensation Minimum:

$42,866.00

Compensation will be commensurate to candidate experience.
